About the role

This role is a key position for an experienced and motivated individual, capable of working on their own in industrial areas in Europe, but with the intention of being global. The specific role is to inspect storage premises of our client’s warehouse keeping members for cocoa beans and cocoa products to ensure that correct standards are maintained. Inspections may be made by Supervisor Inspectors, individuals working for Client Supervisors that have passed the client’s WRS Inspection course, that are instructed by the Client’s Warehouse Inspector to undertake a warehouse inspection.

The successful candidate will have to have an eye for detail while working alongside the owners and/or managers of the premises. In addition, the candidate will be expected to maintain an existing database on the premises visited, by the Client Warehouse Inspector as well as the Supervisor Inspectors, so an ability with handling computers is a requirement. Apart from being able to operate the specialist database, knowledge of Microsoft Outlook, Word, Excel and PowerPoint is also needed. Training will be provided on the inspections as well as the database. As part of a small team of five, this role requires enthusiasm to collaborate with colleagues and contribute to various aspects of the business. Proficiency in languages is an advantage but not a requirement.

Responsibilities:

Client Warehouse Registration Service (“WRS”)

To be responsible for the operation of the WRS, reporting to the General Secretary.

Organization

  • Together with the Secretary General, Supervisor Inspectors and warehouse keepers concerned, devise programmes of warehouse inspections throughout the year.
  • To organise and maintain the inspection programme.
  • Arrange inspections with the warehouse keepers concerned.
  • To organise the Supervisor Inspectors and to instruct them on inspections, as well as to deal with any queries they may have.
  • To help organise the training programme for Supervisor Inspectors.
  • With Head of Operations organise the travel and accommodation for inspections organised.
  • Handle all invoices and receipts resulting from such inspections.
  • Write summary of inspections to advise the Superintending & Warehouse keeping Technical Committee (“Committee”) as and when requested.

Inspections:

  • To observe, inspect and record the finding of the warehouses presented for inclusion of WRS according to the specifications given in the inspection reports.
  • To advise the Secretary General of any additions or amendments needed to be made to the inspection reports.
  • At all times to present a professional and friendly approach to the warehouse staff.

Post Inspections:

  • To maintain the database of WRS.
  • All invoices and receipts to be presented to Head of Operations and to the Accounts.
  • Respond to members' general queries on the WRS.

Reporting:

  • Direct to the Secretary General.
  • Reports to the Committee, Council, Board and other Committees as and when required.

Qualifications/Experience:

  • Professional good conduct while being overseas.
  • Ability to handle unusual situations in a friendly professional manner.
  • Capable of maintaining good observation for extended periods.
  • Currently valid UK passport.
  • An understanding of office management.
  • Well-organised with attention to detail.
  • Ability to multi-task and adhere to project deadlines.
  • Able to work independently and as part of a team.
  • Efficient in using Microsoft Office 365.
  • Strong written and verbal communication skills in the English language.
